Job description

Job Summary: Coordinates clerical activities and supports patient services utilizing clinical information systems to ensure accurate preparation and processing of patient documents, verify status information and confirm communications for doctors, nurses, patients, and family members to ensure effective operation of the unit. Initiates directions from physician and nursing staff. Participates in performance improvement activities. Maintains regulatory agency requirements, nursing and hospital policies and procedures, and standards.


Demonstrates Competency in the Following Areas:


  • Prepares and processes hardcopy and computerized patient files by entering, sorting, and updating information to ensure that accurate and complete records are maintained for each patient.
  • Acts as the primary contact for the unit, while assisting and responding to information requests from doctors, nurses, patients, patient’s families, and others to effectively service unit staff and customers by providing a permanent information resource within the unit.
  • Answer telephone, screen calls, take messages, and provide information according to established policies.
  • Monitors and maintains the environment of care as required by management. Assignments may include cleaning and monitoring of refrigerators, organization of nurse’s station and MD areas, cleaning of phones and keyboards.
  • Communicates appropriately and clearly to co-workers and physicians.
  • Consults other departments as appropriate to provide for an interdisciplinary approach to the patient’s needs.
  • Orders office supplies, obtains orders as required.
  • Assists with charge entry or charge entry audits. Ensures accurate charge capture or professional billing as required by unit.
  • Serves as patient advocate by responding to patient comfort needs such as providing blankets, ice, water, and notifying nurses of other patient needs.
  • Assists in the training of employees to provide instruction on unit-specific operations.
  • Request hospital services such as Interpreter Services, Pastoral Services, Case Management, etc. independently or as directed.
  • Coordinate ED patient transport from hospital or between facilities and maintain records associated with the transport process.
  • Maintains department-specific logs (EMS, Trauma, Stroke, Chest pain) as directed.
  • Promote and maintain confidentiality
  • Demonstrates an ability to be flexible, organized and function under stressful situations.
  • Demonstrates an ability to float to different patient care units and function effectively in different, stressful situations.
  • Treats patients and families with respect and dignity.
  • Interacts professionally with patient/family and provides explanations and verbal reassurance as necessary.
  • Maintains a good working relationship both within the department and with other departments.
  • Supports and maintains a culture of safety and quality.
  • Documentation meets current standards and policies.
  • Manages and operates equipment safely and correctly.
  • Other job duties as assigned.


Regulatory Requirements:

  • High school graduate or equivalent.
